
What Property Managers Should Look For in a Snow and Ice Contract
Two snow contracts can quote similar numbers and behave nothing alike once winter starts. The difference is almost never the price per push. It is in the trigger depth, what counts as a service, who carries the slip-and-fall exposure, and whether anyone is writing down what happened. Here is what to read before you sign.
What does a snow and ice contract actually need to specify?
At minimum: the trigger depth that starts a service, the surfaces covered and explicitly not covered, response time from trigger, the pricing model, what ice management is included as opposed to billed separately, where snow will be stacked, and how the work is documented. A contract missing any of these has left something to be argued about in February.
The specification that gets skipped most often is the surface list. Plowing a lot is straightforward; sidewalks, entryways, loading docks, fire lanes, and accessible parking stalls each need to be named. Those pedestrian surfaces are also where most injury claims originate, so leaving them ambiguous is the expensive kind of vague.
Per-push, seasonal, or time-and-materials, which model fits?
Per-push bills each time the trigger is met, so cost tracks the winter you actually get. Seasonal contracts fix a price regardless of snowfall, converting a variable cost into a predictable one and moving the weather risk to the contractor. Time-and-materials bills for hours and product used, which is the most transparent and the least predictable.
Neither of the first two is inherently better value; they price different risks. A property with a tight fixed budget and no tolerance for a bad month usually prefers seasonal. A property that can absorb variance often pays less per-push across several winters. The failure mode to avoid is a seasonal price built on an unrealistically mild assumption, because that contract is under strain exactly when you need service most.
What is a trigger depth and why does it decide your budget?
The trigger is the accumulation that obliges the contractor to show up, commonly stated in inches. It is the single most important number in the agreement, because it determines how many services a given winter produces. A lower trigger means cleaner surfaces and more invoices; a higher trigger means fewer visits and more accumulation between them.
Match the trigger to how the property is used rather than to the budget. A medical building with elderly visitors arriving early needs a lower trigger than a warehouse yard where the first traffic is a forklift at nine. Setting one trigger across a mixed portfolio is how properties end up either overserved or exposed.
Who is liable when someone slips?
This is a question for your insurer and your attorney, not for a contractor's website, and the answer depends on the contract language and the facts. What you can do is make sure the agreement is explicit about who is responsible for what, that the contractor carries insurance appropriate to the work, and that you have seen a current certificate rather than been told one exists.
The practical point is that ambiguity is the risk. A contract that does not say who handles ice on the entry sidewalk has not eliminated that responsibility; it has just left it undefined until something happens.
Why does documentation matter more than plowing speed?
Because a service log is the record of what was done and when. If a claim arrives months later, the question will be what condition the surface was in at a particular hour, and memory will not answer it. Time-stamped records of each visit, the conditions found, the work performed, and any material applied are what turn a defensible operation into a demonstrable one.
Ask what the contractor's documentation looks like before you sign, and ask to see a sample. A contractor who cannot produce one is telling you something useful.
Where should snow actually go on your site?
Snow storage is a design decision that is easier to make in September than in January. Piles need somewhere to sit where they will not block sightlines at exits, bury accessible stalls, consume more parking than the property can spare, or drain back across a walking surface and refreeze overnight.
That last one causes a surprising share of ice problems. A pile placed uphill of an entrance will melt in afternoon sun and refreeze on the path after dark, manufacturing ice on a day with no snowfall. Walking the site with the contractor before winter and agreeing stacking locations prevents most of it.
What service levels do different property types need?
Retail and medical properties are pedestrian-first and need early, frequent attention to walking surfaces. Office parks concentrate around a narrow arrival window. Industrial sites often care more about keeping a yard and dock accessible than about pristine surfaces. Multi-family properties have people coming and going at all hours, which makes overnight coverage matter more than it does anywhere else.

When should you sign for the coming winter?
Earlier than most property managers do. Contractors size their equipment, staffing, and material orders around the commitments they hold, so capacity for the season is genuinely finite and the properties that get the best response times tend to be the ones that were on the books first. Late-season signings also leave no time for the site walk that prevents the snow-storage problems above.
